Client Agreement & Program Standards

Welcome to Body by Coach Jeff. This document outlines the standards, expectations, policies, and agreement terms governing your participation in the online coaching program. Please read this document carefully to ensure a seamless, results-driven coaching experience.

1. Program Overview & Scope of Service

Body by Coach Jeff provides custom online fitness coaching, individualized nutritional guidance, habit tracking, and ongoing accountability.

Included Services

  • Customized Training Program: Periodized workout programming tailored to your specific goals, available equipment, experience level, and schedule.
  • Nutritional Guidance: Personalized caloric and macronutrient targets based on evidence-based standards (ISSA/NASM guidelines), with periodized adjustments as you progress.
  • Weekly Performance Audit & Progress Reviews: In-depth evaluation of your weekly check-in submission, including metric tracking, macro adherence analysis, and program adjustments.
  • Form & Technique Analysis: Video analysis of your key lifts to optimize execution, performance, and injury prevention.
  • Direct Communication Channel: Messaging access via the designated coaching platform for ongoing support, questions, and guidance.

Out-of-Scope Services

  • Medical nutrition therapy, diagnosis, treatment, or prevention of any medical condition or disease.
  • In-person training or real-time remote spotter sessions.
  • Physical therapy, rehabilitation, or medical treatment for acute or chronic injuries.

2. Client Expectations & Active Participation

Achieving a sustainable physical transformation requires active client engagement and rigorous adherence to the framework provided.

Core Client Commitments

  • Consistency: Execute workouts, cardio targets, and meal plans as prescribed.
  • Data Logging: Accurately track and record daily metrics (body weight, macro intake, sleep, steps, and compliance scores) using the assigned software or tracking sheets.
  • Transparent Communication: Communicate openly regarding fatigue, stress, adherence challenges, travel, or physical discomfort immediately—not days or weeks after an issue occurs.
  • Self-Sufficiency & Accountability: Take ownership of your daily habits, meal preparation, and workout execution.

3. Compliance & Check-In Protocol

The weekly check-in is the core mechanism for evaluating progress and driving program modifications. Strict adherence to check-in schedules is mandatory.

Weekly Check-In Standards

  • Check-In Window: Submissions open on Monday of every week and must be completed and submitted before Friday at 12:00 AM local time.
  • Required Check-In Data:
    • Completed weekly check-in form detailing adherence, biofeedback, and notes.
    • Body weight log for the week, including body fat percentage (if available).
    • Progress photos (front, side, and back views) taken under consistent lighting, in the morning while fasting, using a neutral posture (as scheduled).
    • Video clips of assigned lifts for technique evaluation (as needed).

Late or Missed Check-Ins

  • Turnaround Guarantee: Complete check-ins submitted before the deadline will receive feedback and adjustments within 2–4 days.
  • Late Submissions: Check-ins submitted after the deadline will be reviewed during regular working hours as the schedule permits. Program updates may be delayed until the following business day.
  • Unexcused Missed Check-Ins: If a check-in is missed entirely without prior notice, your current program will roll over unchanged for the week. No retroactive check-in reviews will be conducted for past weeks.
  • Extended Inactivity: Five consecutive weeks of unexcused missed check-ins will result in the temporary suspension of active coaching access until your account status is updated.

4. Nutrition & Training Compliance Rules

Nutritional Compliance

  • Adherence Margin: Daily macro intake should aim to remain within ±5 grams for protein and carbohydrates, and ±2 grams for fats relative to prescribed targets, unless otherwise instructed.
  • Guesstimate Policy: When eating out or traveling, track your best estimate and note it in your daily log. Avoid unlogged “off-plan” days.
  • Dietary Adjustments: Never make unilateral adjustments to your macros or calorie targets. All caloric increases, drops, or refeeds are dictated by Coach Jeff based on trends in your data.

Exercise & Form Submissions

  • Form Video Guidelines: Ensure video clips capture your entire body and the equipment from a clear diagonal (45-degree) or side angle.
  • Exercise Substitution: Do not swap exercises arbitrarily. If equipment is unavailable or an exercise causes pain, contact Coach Jeff for an approved alternative.

5. Payment Terms, Subscriptions & Billing

Billing Schedule

  • Coaching fees are billed on a one-time payment basis (or as agreed upon during enrollment).
  • Payments must clear prior to the delivery of updated training programs, meal plans, or check-in feedback.

Pause & Refund Policy

  • Program Pauses: Requests to pause coaching (due to medical emergencies, business travel, or personal leave) must be submitted in writing. Holds are granted at Coach Jeff’s discretion for a maximum of 60 days per calendar year.
  • Refund Policy: Coaching fees pay for personalized program design, regular data analysis, ongoing time, and professional expertise. All payments are strictly non-refundable once a program or coaching cycle has commenced.

6. Health Disclaimer & Assumption of Risk

  • Medical Clearance: You represent that you are in good physical health and have received approval from a qualified physician prior to beginning any intense physical exercise program or dietary protocol.
  • Assumption of Risk: Participation in physical exercise involves an inherent risk of injury. You voluntarily assume full responsibility for any risks, injuries, or damages—known or unknown—which might occur as a result of executing the exercises or nutritional strategies provided.
  • Non-Medical Advice: Coach Jeff is an online fitness coach and nutritionist operating under certified guidelines (ISSA/NASM standards). Instructions provided are for informational, educational, and performance-enhancement purposes only and do not replace professional medical advice.

7. Intellectual Property & Confidentiality

  • Proprietary Content: All program documents, training templates, custom macro frameworks, guides, and educational materials provided by Body by Coach Jeff are proprietary intellectual property. They are licensed for your personal use only and may not be shared, duplicated, resold, or redistributed.
  • Client Privacy: Your personal information, check-in data, and health metrics will remain strictly confidential.
  • Media & Progress Photos: Progress photos, testimonials, and transformation data will never be posted publicly on social media or promotional materials without your explicit written consent.

8. Code of Conduct & Termination of Service

Body by Coach Jeff maintains a culture of mutual respect, dedication, and professionalism.

Grounds for Immediate Termination

Coach Jeff reserves the right to terminate the coaching relationship immediately, without refund, under any of the following circumstances:

  1. Persistent disrespect, abusive behavior, or inappropriate language toward Coach Jeff.
  2. Repeated failure to engage, communicate, or submit check-in data over a 30-day period.
  3. Unethical behavior, including sharing proprietary coaching materials with non-clients.

By enrolling in the program, submitting payments, or utilizing materials provided by Body by Coach Jeff, you acknowledge that you have read, understood, and agreed to adhere fully to all terms, compliance guidelines, and policies outlined in this document.
